Online Clearance and Handover
A clearance and handover system with live status tracking for hospital staff and management.
Leaving an organization is the one employee process that touches every department, and in most places it still runs on paper forms and goodwill.
The situation
Clearance means that every department confirms the person owes it nothing. Done on paper, it is slow, forms go missing, and nobody can say where a given clearance is. The employee waits. HR chases. Each department keeps its own record of the same event.
What we built
An online clearance and handover system that acts as the central repository for every clearance. Applicants are alerted by email as the process moves. An administrator can approve and assign across the whole flow. Staff and management each sign in with an individual ID, and check-lists ensure that vital information is not omitted at handover.
The principle was transparency. When every person in the chain can see where a clearance sits and who holds it, delay becomes visible, and visible delay tends to shorten.
Beyond hospitals
The same design fits any organization with a multi-department exit or handover process, which is why it also appears in our Employee Self Service work.
